Polaris Children's Services is part of the Polaris Community of companies and delivers statutory and non-statutory social care services the UK and to military communities overseas.

Since 2014 we have provided social work services to the Ministry of Defence in Germany and in October 2019 expanded our overseas work with the British military and associated civilian personnel and their families across Europe, Canada, Kenya, Belize and the United States of America and Saudi Arabia.

From 1st July 2020 we expanded our services to include the British Forces Social Work Service in Cyprus and the South Atlantic Islands.

While all under the management of Polaris Children's Services we are proud to have developed our own BFSWS brand with specific identities for each service within our community of military social work services.

We are looking for a Business Support Administrator to provide key support to the personnel in Dhekelia and RAF Akrotiri. This includes the Senior Social Worker, the Personal Family Support Worker and the island-wide Child Care Co-Ordinator. The BSA will be the initial point of contact for enquiries into the service.

Role Responsibilities

* To be the first point of contact to the service, provide full administrative support and reception cover, answering emails and telephone calls, record accurate messages, assess and respond to enquiries as appropriate.
* To fully administer Child Protection, Child in Need and all other professional meetings, including diaryco-ordination, booking rooms, organising refreshments, minute-taking and any other arrangements as required.
* Input new referrals accurately on to the client system, CHARMs, and ensure details are added and updated when required.
* Be responsible forco-ordinating and processing DBS, child minding and vetting applications, ensuring that they are accurately completed and processed in a timely manner.
* Collate timely statistics and analysis for the BFSWS team in order to provide accurate monthly, quarterly and annual KPI and other relevant reports for the Business Support Manager.
* Co-ordinate with the team and ensure allliterature and publicity material have the correct, official branding at all times.
* Co-ordinate with HQ Episkopi to book accommodation, travel, security for professional staff and visitors.
* Be familiar with responsibilities regarding safeguarding and ensure all training, including mandatory training, is completed as required.
* Assist the Business Support Manager in ensuring that office equipment and furniture is maintained, ordered and provided in the BFSWS Cyprus offices as required.
* Provide cover as required at any of the BFC Units in Cyprus.
* Fully comply with all Military Standing Orders.
* This is not an exhaustive list of tasks and additional tasks can be undertaken that are commensurate with the post.

Essential Skills & Experience

* The successful candidate must have GCSE Grade C or equivalent in English and Maths.
* Proven and demonstrable administration experience, with excellent IT skills including Microsoft Office.
* Have good interpersonal skills and the ability to communicate with a wide range of people, both internally to the business and externally. The successful candidate will needa to have a high standard of verbal and written communication.
* Be able to work as part of a Team and independently.
* Have good organisation skills, be able to prioritise and manage own workload, and produce documents to a high standard.
* An ability to maintain confidentiality and understanding of the Data Protection Act & GDPR.

This is a part-time role, and therefore, does not offer any support with moving costs or immigration from another country to Cyprus.
